Job Description:

The ideal candidate will excel in both strategic and executional areas in order to implement initiatives to better the organization. In order to succeed, this candidate should feel comfortable taking on a range of responsibilities, implementing programs, and acting as the leader for the organization. - The Managing is accountable to the Eugene Piano Academy Owner for six primary task groups: 1) Customer Relations, Sales, and Recruitment - The Managing Director will be the direct contact for students (outside of music lessons) and help to build relationships with clients based on trust and respect. This will include answering phone calls and emails, greeting walk-in customers and assisting with general questions about billing, scheduling, or scheduling piano sales appointments. The Managing Director is responsible for communicating significant information to students, including the start and end of classes, special event dates, and upcoming holidays, via email and online newsletters. The Managing Director will maintain knowledge of the Academy's classes and policies, as well as resolving complaints and preventing additional issues by improving processes. The Managing Director will act as a Piano Sales Representative for Classic Pianos and work with Classic Pianos coordinating any inventory or moving needs. 2) Accounts Receivable/Payable/Budget/Payroll- The Managing Director is responsible for accounts receivable. This will include sending out monthly statements and invoices, managing automatic payments, accepting payments by phone, recording payments, and managing debt collection and late fees. The Managing Director will reconcile the business checking account monthly, paying all outstanding invoices on time, tracking payable auto payments and making sure the Piano Academy is staying within proposed annual budget. The Managing Director will review and approve monthly payroll for employees and payment to independent contractors. Ensuring all employee/contractor information on file is correct. Will work with a 3rd party vendor for payroll processing and payroll taxes, ensuring all paychecks, tax payments - monthly, quarterly and annually - are being paid accurately. The Managing Director will work with the owner and 3rd parties coordinating financial monthly, quarterly and year end reporting and forms such as 1099s and W2s are processed and sent on time. 3) Registration and Scheduling - The Managing Director will manage the schedule and registration for all classes, lessons, camps, or other events. Part of this will require the regular updates of records pertaining to student rosters, email lists, and calendars. This task area includes the management of online class registration, the scheduling of private lesson interviews and communicating new teacher assignments. Semester/Intro Classes/Summer Camps & LCC Class schedules will be proposed and confirmed with available instructors in accordance to The Academy's timeline and making sure all calendars, online or internally, are updated and accurate.. The Managing Director is charged with canceling, combining, shifting classes in accordance to Eugene Piano Academy's enrollment policies, ensuring these changes are communicated with all students, parents and instructors. This task also includes ordering books and materials needed for classes tracking that they arrive by the first class. 4) Staff Management- The Managing Director is responsible for supervising staff. This will involve an accountability process that insures employees are meeting opening/closing requirements, effectively managing class schedules, adhering to The Eugene Piano Academy's code of ethics and standards of quality, training and orienting new employees with opening and closing procedures, and resolving any disputes which may arise. This includes on-boarding new instructors, training them in the Academy's procedures, processing correct paperwork, building orientation, adding access to email and software systems that are appropriate, collecting instructor bios and photos and posting onto the Academy's website. The Managing Director will run monthly staff meetings, outlining the agenda and following up with staff about any outstanding questions. 5) Business Development, Strategic Planning and Marketing - The Managing Director will keep the Academy's best interest in mind and offer suggestions for better practices that will encourage business growth and ensure customer satisfaction, as well as new ideas for community outreach. This will include assistance in managing demonstration classes, field trips, and guest speaking in the community. Gather interest from current or protective students and brainstorm with instructors about additional classes that would compliment and aide in the growth of Eugene Piano Academy. This task group is a shared responsibility with The Eugene Piano Academy Owner and Special Programs Coordinator. Design flyers, ad copy and other marketing materials needed for promotion and ad campaigns. The Managing Director will design, post & send a quarterly newsletter. 6) Building & Special Event Management - The Managing Director will be responsible for making sure the Academy is in good working order, and stocked with supplies. This will include classrooms, bathrooms, and waiting area up-keep, while taking note of supplies that need to be restocked. Any supplies that are needed will be communicated to the Special Programs Coordinator for ordering. Managing Director will also manage opening/closing schedules, janitorial staff, and maintain quality control with those who also help maintain the building, and report building problems to the property management. Managing Director will help create a system to ensure the building is maintained at a high standard of cleanliness with the help of instructors and janitors. The Managing Director will work with the Event Manager on special events and building rentals. Individual tasks can be delegated. EDUCATION REQUIREMENTS Preference will be given to candidates with an Associates or Bachelor's Degree in Business Administration, Arts Administration, Communications, or at least 3 years demonstrated experience in sales, business management, and/or administration. QUALIFICATIONS The ideal candidate will have exceptional customer service skills, enjoy working with others, and have a general interest in music. Additionally, the ideal candidate will demonstrate experience and proficiency in independent work, personal time management, multi-tasking, effective communication, developing and maintaining standards, process improvement, decision making, strategic planning, and quality management. REQUIRED SKILLS Proficiency with Intuit QuickBooks (Mac) and managing accounts receivable and a working knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software, such as Pages & Numbers (Mac). Must have the ability to juggle multiple projects and priorities at once. Ability to listen attentively, prioritize and execute assignments. PREFERRED SKILLS While not required, preference will be given to candidates with an understanding of music education and the needs of a service-based business. -
